Important Information for 2025

Below you will find a summary of key information that will help with your planning but please make sure to read the whole manual for full details. The manual provides both recommendations and mandatory rules.

  • Exhibition Timetable
    • Stand must designed to be safely constructed and dismantled within the hours laid out on the exhibiton timetable.
    • Build-Up hours are 08:00 to 20:00 Wednesday to Sunday
    • Late working outside the published build-up and breakdown schedule is permissible only at the Organisers' discretion.
    • Stand construction must be completed by 20:00 Saturday, 26 April.
    • Only essential contractors onsite on Sunday, 27 April.
    • Aisles to be cleared completely by 16:00 on Sunday, 27 April.
  • Badges & Passes 
    • ATM is pre-registration only. All attendees need to pre-register online prior to arrival and download their badges from the exhibitor portal.
    • Maintenance passes are restricted for 2025 and can be requested in advance.
    • Catering passes are restricted for 2025 and can be requested in advance.
    • Performance passes - If you are planning to have any of the following on your stand, you must submit applications for each person before the 10 April 2025 (applications after this time will not be approved) performing acts such as magicians, dance displays, singers, bands and/or musical performance, acrobats, live animal displays. Cost per person is AED650 and must be paid for onsite (credit card only) at the Organisers Office 4.2.
  • Stand Build Regulations 
    • Enclosed stands -  We still recommend open stand designs which allow good ventilation and space for people to move freely. If enclosing larger areas of the stand, your Health & Safety documentation must demonstrate that it meets current stand build regulations. Consider open meeting space and ensure it is sanitised between uses.
    • Stand designs - Designs must simplify. With build-up time limits in place, it is recommended that stand designs be simplified and pre-fabricated or be modular in construction to facilitate efficient assembling. This will also ensure less manpower onsite.
    • DWTC Violations – In order to maintain a safe working environment, the venue have introduced a health and safety violation system to help identify and minimise unsafe working practises.   •  Sustainability - ATM is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment. 
    • Our new Exhibitor Environmental Checklist is now available and has useful tips to lower your environmental footprint whilst you are exhibiting with us.

  • Shell Scheme Stands - Full details of the stand and package you have selected and what you need to do to have a successful exhibition.
  • Space Only Stand Plan Submissions
    • The Space Only Stand Plan deadline is on the 10th of March. For Double Deck Stands, the deadline is on the 24th of February.
    • Stand Information Form is required.
    •  Double Deck Stands
      • ATM25 has introduced a charge for additional double decker/triple decker stand space.  The purpose of introducing this is to encourage our exhibitors to build out, as opposed to up to a double/triple decker helping with the complexity of building and dismantling such stands during the approved build and breakdown times. The Double Decker will be priced at $300 per sqm, If the stand plans are not submitted by the deadline of 24 of February 2025, the order will be UPGRADED with the “Double Decker Late fee” and the cost will increase from $300 to $400 per sqm. The final deadline for space only stand submissions is 10 March 2025.
      • Failure to complete your double decker stand plan submission by 24 February 2025 will result in permission being denied to have a Double Decker stand.
      • The maximum square metres allowed for upper deck structures is 50% of the total stand space.
      • All structures must conform to the venue and local authority Double Deck Regulations.
      • We have a Live Edge Working Process which will be in place for double deck stands to ensure that the correct procedures have been put in place to eliminate or reduce the risk of working on the live edge.

    • Complex Structures & Rigging 
      • All stands with a suspended structure and anyone building over 4m in height must:
        • Submit full technical drawings.
        • Submit structural calculations.
        • Provide details of fixings and weight loadings for all suspended structures.
        • This information will be sent to an independent structural engineer for pre-show checking and a onsite inspection.
    • How to Submit Stand Plans
      • Ops Squad Stand Plan Team will be looking after the Space Only stand plan sign off process in its entirety for the event, including managing all queries you may have about your stand designs. See Stand Build Submissions.

 

Additional measures to consider:
  • Cleaning and Hygiene
    • To keep the same standards of care within the halls and to ensure that all stand touch-points are included, all space-only stand exhibitors ARE REQUIRED to place a nightly stand cleaning order. This can be done through EventPlus.
    • All Exhibitors are advised to provide hand sanitiser and/or hand washing facilities within the stand design.
    • All high touch points should be regularly cleaned with appropriate cleaning materials during build, show open and breakdown.
  • Deliveries - Deliveries should be carefully planned.
  • Exhibitor Catering - Any stands wishing to apply for permission for external catering must complete a DWTC Catering Disclaimer form and comply with the DWTC policy and Dubai Municipality's Hygiene and Food Safety regulations.
  • Health & Safety - Please ensure you read this section so that you understand all of the risks and safety procedures involved in anything you plan to do onsite.

  • Your Tasks & Order Deadlines - Please pay extra attention where deadlines may now be earlier than previous years due to new lead times. Orders should be placed in advance to reduce onsite contact.
  • Waste Removal Charges Exhibitors and contractors are responsible for the removal and disposal of all stand fitting waste created during build up and breakdown. Heavy financial penalties will apply to anyone who leave stand waste on site.

It has come to our attention that our customers are increasingly being targeted by companies claiming to supply exhibitor/visitor/participant lists and details relating to our events and products at a cost.  Be vigilant – this data is likely fraudulent.  If you receive any such unsolicited offers, please do not respond unless you have checked with us first.

Exhibition Timetable

If you are working onsite during the build-up and breakdown periods, you will be expected to wear appropriate Personal Protective Equipment. You will be checked by security as you enter the venue to ensure you have a high visibility vest and safety footwear (no opened toed shoes or heels). This also applies to all exhibitors.

Please note: Late working outside the published build up and breakdown schedule is permissible only at the Organisers discretion and provided that contractors have sufficient amount of onsite crew to reduce long working hours and the ability to ensure adequate breaks for staff. Contractors must ensure that the stand design can be completed within the allocated time considering any potential restricted capacities.

Any proposed Late Working Requests can be submitted in advance via this form at a discounted rate of 650AED (VAT included) per hour per stand. Please note advance bookings will be charged by invoice in US$.

Onsite requests must be submitted by 2pm of the day it is required and is at the surcharged rate of 800AED (VAT included) per hour per stand. There will be NO cash accepted onsite and all payments must be made by credit/debit card.

IMPORTANT: Sunday, 27 April 2025 - To help ensure that the aisle carpet can be laid on time and the cleaning team have sufficient amount of time to ensure that the show is cleaned and ready for show open it is compulsory that all empty boxes, storage crates, ladders, unused stand fitting materials, pallets etc. are removed from the aisle by 4pm on Sunday, 27 April 2025. Any items left in the aisles after this time will be removed by DB Schenker and a 100% surcharge will apply to the storage cost (as set out in DB Schenker Tariff) for the removal and storage of these items. Everyone working onsite must be made aware of this procedure.

The shell scheme will be dismantled from 2000hrs on Thursday, 1 May 2025. All display materials and products must be removed from site BEFORE THIS TIME as they may be damaged or lost as contractors dismantle the shell scheme. If you need to store items for collection after this time you MUST contact our logistics partner for  storage.

Breakdown Reminder: As halls are open 24 hours, we will be monitoring that contractors have enough onsite crew to reduce long working hours and the ability to ensure adequate breaks for staff. Contractors must ensure that the stand design can be dismantled safely within the allocated time.

Halls must be clear of exhibitors, stand contractors and stand fittings including waste material by 1200 hrs (noon) on Saturday, 3 May 2025. Exhibitors will be charged for any carpet tape or stand construction materials left by their contractors.

Badges & Passes

EXHIBITOR PERSONNEL BADGES

For security reasons every member of your stand staff must present an Exhibitor badge in order to gain admission to the hall. This provides access to the show during the open period only. To access the hall on Sunday, 27 April (the final day of build-up) you will require a DWTC Contractor badge (see below). 

PLEASE NOTE: Access to the venue during build-up and break-down periods is subject to persons wearing appropriate PPE.

Exhibitor Personnel Badges can be ordered online through the Exhibitor Portal. It is the responsibility of the Main Stand Holder to order and register badges for each person that will be working on the stand during the show as Exhibitor Badges are non-transferrable. 

 

CONTRACTOR BADGES (BUILD & BREAKDOWN)

PLEASE NOTE: All contractors MUST apply and pay for the correct DWTC Contractor pass before the event and no access to the venue will be possible without a DWTC contractor pass. These can be ordered through https://contractorplus.dwtc.com/shop/. Further information can be found in the DWTC Contractor Access and Admission Process document.

 

MAINTENANCE BADGES

Under no circumstances will maintenance work be permitted on stands during the exhibition open hours.

If at any time during the exhibition open days you need to carry out maintenance work on your stand after the exhibition has closed please apply to the organisers by 14:00 hrs on the same day. Charges may be incurred by the exhibitor to cover additional costs for staff and venue services.

Stand-by contractors that may be required on the stand during show open period can collect a maintenance badge from the organiser’s office onsite. Proof will be required in the form of a DWTC contractor pass (please see above) in order to issue a maintenance pass to the requested staff. The passes will only be valid during the open hours of the event and must be accompanied by the DWTC contractor pass.

A maximum of three maintenance passes will be issued free of charge to each space only stand. Additional passes on top of this quantity (up to a total of 10 passes) will be charged at 200 AED per pass.

CATERING DELIVERY BADGES

Exhibitors who are permitted to bring their own catering onto their stand and have applied to the venue in writing should have obtained an approved DWTC Catering Disclaimer Form.

Once you have gained approval from DWTC you can then apply for passes for access into the halls.

A maximum of four catering passes will be issued free of charge for each stand. Additional passes on top of this quantity (up to a total of 8 passes) will be charged at 200 AED per pass.

Proof will be required in the form of a DWTC signed catering disclaimer form (please see above) in order to issue a catering pass to the requested staff. The passes will only be valid during the open hours of the event.

Arabian Travel Market is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment. 

RX has signed up to the Net Zero Carbon Events pledge with the aim of achieving zero emissions by 2040. To help us reach our goal we have produced a sustainability charter, guided by the UN Sustainable Development Goals which will direct our considerations as to the ways in which our events are organised.
