Aisles & Gangways

Exhibitors/Contractors must remove all waste materials other than small items. Designated emergency aisles must be kept clear at all times - a floorplan of the emergency gangways can be found in the on-site Organisers' office. Please ensure you adhere to these rules to ensure a safe & accessible build-up and you must co-operate with our Floor Managers.

Removal of Empties on Sunday, 27 April 2025 

To help ensure that the aisle carpet can be laid on time and the cleaning team have sufficient time to ensure that the show is cleaned and ready for show open it is compulsory that all empty boxes, storage crates, ladders, etc. are removed from the aisles by 12.00 hours on Sunday, 27 April 2025. Any items left in the aisles after this time will be removed by the official logistics provider and a 100% surcharge will apply for the removal and storage of these items. Everyone working onsite must be made aware of this procedure.

During the open period no objects must protrude from the stands into the aisles nor must furniture or displays or parts of displays be placed in the aisles. 

Under no circumstances may an Exhibitor (or staff member working on behalf of Exhibitors) be permitted to distribute any promotional material (including printed or other cards, circulars, articles, leaflets) at any point within the exhibition centre other than on their allocated stand space. This restriction includes the gangways surrounding your stand and all public spaces. 

Distribution of promotional materials is not recommended, please consider digital options instead.

Alcohol, Drugs & Smoking

The consumption of alcohol onsite during build up and breakdown phase is strictly forbidden. 

The taking of illicit drugs is strictly forbidden at all times.

It is an offence to smoke or to knowingly permit smoking inside the venue premises. If you observe someone smoking, a complaint may be made to any member of the exhibition team. This also applies to e-cigarettes and vaping. Smoking and Vaping will only be allowed in designated smoking areas outside.

Balloons

Helium Balloons, Blimps and Toy Balloons are not permitted.

Cashpoints

Cashless payment is the preferred and encouraged payment method at all DWTC outlets.

Children

Children under the age of 18 will not be permitted in the halls during build and breakdown under any circumstance. 

On event open days, no one under the age of 18 years will be permitted to attend unless they have obtained prior written consent of the Organisers and may be required by the Organisers to be accompanied by a parent or guardian.

Student groups will only be accepted by prior arrangement with the Show Team.

Admissions Policy

Cleaning, Hygiene & Waste

We encourage exhibitors to consider the enhanced cleaning of high touch points on their stand and to provide hand sanitiser for staff and attendees.

Stand Cleaning can only be done during the event period by DWTC housekeeping staff booked through EventPlus. All Space Only Exhibitors must book this directly with the venue.  Shell Scheme exhibitors have the overnight cleaning included within their stand package.

It is your responsibility to maintain your stand in a clean condition at all times. The cleaning of exhibits will remain your responsibility, as will any special services that may be required such as the removal of bulk rubbish. Standfitting materials, carpet, pallets etc. are not included in the cleaning service and must be removed by the exhibitor or contractor. Any costs incurred for the removal of this type of waste will be forwarded to the exhibitor concerned. 

PLEASE note that you will incur charges if you or your contractor leaves excess waste during build up and breakdown. 

Demonstrations, Live Performances, Entertainment, and Music on Stands

Live music or performances are only permitted at the following times:

  • Monday, 28 April – Wednesday, 30 April  between 5-6pm
  • Thursday, 1 May between 4-5pm

All live performances need to be authorised by the venue and the organisers. Any presentation/demonstration/live display likely to interest groups of 10 or more people must be located towards the centre of the stand and clearly shown on the stand drawings submitted. Stages and presentation areas will NOT be permitted on the perimeter of stands. Stands should be designed so that any audience is accommodated within the stand space and not the surrounding aisles. If any presentation/demonstration causes obstruction within the gangway and/or excess noise or nuisance to any other Exhibitor, visitor or the Organisers, the Organisers reserve the right to cancel the presentation/demonstration or restrict the frequency.

If you are intending to have entertainment or performance of any sort on your stand you MUST apply for permission. This permission will be issued by the organisers of Arabian Travel Market on behalf of DET. FAILURE TO OBTAIN THE NECCESSARY PERMISSION WILL RESULT IN FINES BEING ISSUED DURING THE EVENT. These fines will be issued by DET. Permission is still required for all entertainers or performers but individual permits are no longer issued. All entertainers will be included on an overall permit for the exhibition, issued by DET. The organisers will make a group application to DET when we have your individual entertainer/performer details. The deadline for all entertainer permission applications is 10 April 2025. By this date all required information, passport copies and accompanying photos must have been submitted for EACH entertainer or performer. To apply for permission for an entertainer or performer on your stand please complete this form. A separate form must be completed for each individual. Incomplete applications will not be accepted.

In addition to the information requested in the form you are also required to submit a passport copy and current photograph for the entertainer/performer meeting the requirements below:

The performer or entertainer registration fee is imposed by DET. The total cost per application is AED 650. For certain types of performance or entertainment there may be further charges as imposed by DET.

This fee is payable onsite at the organisers office (Office 4.2) by credit card ONLY. Upon receipt of payment the individual performer permit will be issued.

PLEASE NOTE THAT ANY ENTERTAINERS OR PERFORMERS WHO DO NOT HOLD A PERMIT WILL BE SUBJECT TO A MINIMUM AED 10,000 FINE FROM DET.

Dubai Municipality Environmental enforce strict requirements for noise levels which must be observed at all times. These noise levels are as follows:

  • 55 dB between 07.00 and  20.00
  • 45 dB between 20.00 and 07.00
  • 80 dB in normal working environment

During prayer times, any sound, such as music, should be turned off.

Dilapidations

Please remember that you are responsible for rectifying any damage caused to the fabric of the Exhibition buildings, by you, your agents or contractors. In your own interests you should satisfy yourselves as to the condition of your stand site before the building of your stand and after its clearance. It is essential to use a recognised adhesive tape when fixing any carpet directly to the hall floor as all carpet tape must be removed at the end of the exhibition. The correct tape can be purchased from the Organising office onsite at the exhibition. Any charges incurred by the organisers as a result of failure to remove carpet/carpet tape will be passed onto the exhibitor. The stand space must be completely clear and clean by the end of the dismantling period. Any waste left behind is subject to a charge.

Filming and Broadcasting

All Time Lapse videos/photography, Photo Shoots, and Video Shoots within DWTC need formal approval from Dubai Police. A minimum 8 working days is required to get approval. An application form needs to be submitted and the following provided: Passport copy, Visa copy, Description/Purpose of the shoot/access, Date & Time, Location. Please contact the Operations Team to discuss.

First Aid  & Accidents

First Aid will be available onsite. If you require medical attention please contact the Organisers Office or any member of the exhibition team.

All accidents and near-misses must be reported to the Organisers via the Organisers' Office, Floor Managers, of Health & Safety Officers.

PA System

The Public Address system is for use of the Organiser and Authorities only. Only official and emergency messages will be broadcast, any requests for information to be announced will be refused.

Patents & Copyright

By entering into an agreement to attend this exhibition you warrant to Reed Exhibitions that all designs and artwork on or relating to your stand and any exhibits and items displayed on your stand shall not infringe any trademarks or copyright or patents or other intellectual property rights of any third party in any way.

In the event that the exhibition is under any legal obligation (whether by virtue of a court injunction or order or judgement or a recommendation or decision of a Trading Standards Officer or otherwise) to have removed either any item or items displayed on your stand or any design or artwork on or relating to your stand then (without prejudice to any other rights which Reed Exhibitions may have) Reed Exhibitions reserves the right to assist the relevant authorities and where appropriate to have that item or items removed from your stand or to close your stand at the exhibition. No compensation or damages will be payable as a result of such removal or closure by RX Global.

The Organisers cannot accept responsibility for any conflict of trading at the Exhibition

Competitions, Prize and Raffles on Stands

If you wish to hold a competition / prize draw on your stand there are legal requirements in UAE. Any raffle draw organised during an event is now subject to a raffle draw policy as per the rules and regulations of the Dubai Department of Economic Development (DED). It is very important that you are aware of the revised procedure. If a raffle draw is organised without prior approval or the delivery of the award(s) to the winner(s) is not in line with the policy detailed below, there will be fines imposed.

Employment of Labour

We are not able to supply labour for the handling of goods and properties. However the Official Lifting Contractor, your forwarding agent or standfitting contractor will be able to offer assistance and advice in this area. Please do not employ any casual labour offered in the halls.

In the interest of the Exhibition our decision on any dispute concerning labour being employed must be taken as final. You can use a contractor of your choice for the construction of stands on Space Only sites and interior fittings for Shell Stands, so long as the contractor selected is privy to the terms and conditions relevant to work carried out in the Halls.

If you employ temporary staff such as hosts or hostesses, you must submit a completed Temporary Staff Form, 3 weeks prior to the event. Complete and return the form to [email protected].

Internet & Communication  

DWTC offers free Wi-Fi internet access for all visitors at all times, this is a complementary service and therefore provided on best efforts basis. Simple registration steps are required in order to gain access. DWTC does not commit on performance and speed and onsite support is not available for this service.

Due to variability of wireless network signals within the exhibition environment, Dubai World Trade Centre operates the following:

a. Wireless internet networks installed by exhibitors and their contractors can only function on 2.4GHz, however DWTC does not recommend this for product demonstration due to interference from multiple networks and is unable to offer any technical support on this frequency.

b. Dubai World Trade Centre operated a "Clean Air" policy on wireless internet networks functioning on 5GHz and will reserve the right to switch off any unauthorised 5GHz wireless networks.

c. Any orders for internet access must have the required information detailed in full before the order will be processed. Internet can be ordered through EventPlus.
