Catering Policy

DWTC does not allow any food or beverages to be brought into the premises from external sources. However, exceptions have been made for Arabian Travel Market to allow UAE based Hotels and UAE based Airlines (who have their own catering service – not outsourced) to bring in their own food items on their stands, subject to approval.

External Catering Regulations 

Any stands wishing to apply for permission must complete a DWTC Catering Disclaimer form and comply with the DWTC Policy and Dubai Municipality's Hygiene and Food Safety regulations

The DWTC Catering Disclaimer Form must be completed by the exhibitor and sent to DWTC Hospitality Services Department in order to gain approval from the Dubai Municipality to bring food and beverages from outside into the exhibition halls. The deadline for this is one month prior to first build up day.

Exhibitors responsibility

The Exhibitor bringing food from outside has a legal obligation to ensure that all food safety requirements are implemented as per the guidelines set by Dubai Municipality’s Food Control Department.

A detailed risk assessment and catering management plan should be completed pre event to demonstrate how you intend to safely manage food service on your stand. This must be available onsite should the DWTC request to see it.

Only clients / exhibitors with the approved Catering Disclaimer Form and the applicable Dubai Municipality permit will be allowed to bring food inside the venue and only during the times specified for that purpose.

The DWTC or the Organisers reserve the right to stop service, or request changes to service, if you do not comply with regulations.

 

Catering Deliveries

Access times on open days for catering deliveries are from 11am to 3pm on Sunday, 27 April and Monday, 28 April to Wednesday, 30 April. Caterers are reminded that they must carry their Catering Disclaimer Form and Staff Catering Delivery Pass at all times.

The Municipality will be present during these timings to monitor the deliveries and check disclaimers.

Please note: No trolleys are permitted on the show floor during show open hours.

 

Retail Stand Delivery

DWTC have introduced the opportunity to order staff catering directly from your stand via an individual QR code. As an exhibitor you can scan, pay and have your orders delivered directly to you, whilst avoiding the crowds and queues around the F&B outlets. Using the QR code, you will be able to order a selection of hot and cold beverages, along with food items covering breakfast, lunch and sundry items.

The QR code will be distributed in the form of a sticker to each exhibition stand on the pre-opening day.

Exhibitor & Contractor Welfare

We all have a duty of care to help and support event industry professionals and here at RX, the safety and wellbeing of everyone onsite is one of our top priorities.  Everyone has a role to play to look out and care for our colleagues and peers and we can all do this by taking the following steps:

  • Don’t request or plan for stand designs that can not be safely and comfortably constructed and dismantled during the published time available.
  • Provide sufficient amount of onsite crew to reduce long working hours
  • Ensure adequate breaks for staff
  • Everyone on site should have access to drinking water, catering facilities and rest rooms
  • Be kind.  Be considerate

Emergency Procedures

Evacuation or partial evacuation is on the advice of the Venue. Should an emergency occur that necessitates an evacuation, an announcement will be made over the PA system. Exit the building immediately via the nearest exit point and make your way on foot to your closest Assembly Point. Please refrain from using mobile phones at this time.

Whilst at the Assembly Point you will be kept informed of developments. When the emergency has ceased you will either be invited to return to the exhibition to resume normal business or advised to return the next day – in which case you will not be permitted to return to the exhibition to collect vehicles, bags, briefcases etc.

Security

A badging system is in place to ensure all personnel are registered and associated with the show.

Exhibitor badges / e-badges are essential for open days, unfortunately no badge no entry! During the build up and breakdown period all contractors must have a contractor wristband / e-badge.

Advice for Exhibitors

Whilst every reasonable precaution is taken to ensure the safety and security of personnel and equipment and the premises are patrolled day and night, we cannot accept any responsibility whatsoever for any injury, loss or damage or any consequential losses which may befall your personnel and their property.

Exhibitors are responsible for the security of their goods, please consider how you can secure your products and belongings whilst on-site. We recommend that valuables are not left unattended on your stand and are removed or locked away each evening. This is particularly relevant on the closing evening and throughout the breakdown period. During the day be aware of your space - report anything or anyone suspicious to security. If you are a victim of theft please report it immediately.
